Grant Application Checklist for Australian Small Businesses

A strong application starts before the form opens. This checklist helps an Australian small business organise the core facts, evidence and approvals commonly requested by grant programs. Always replace this general list with the mandatory requirements in the current program guidelines and application form.

Business identity and authority

Confirm the correct legal entity will apply and that the person submitting is authorised. Names and numbers should match official registrations and the financial records used as evidence.

  • Legal entity name, ABN and ACN where applicable
  • Registered and operating addresses
  • GST and relevant registrations
  • Ownership or control information
  • Authorised representative and internal approvals

Eligibility evidence

Collect evidence before drafting narrative answers. The official business.gov.au readiness guidance notes that programs may ask for turnover, trading history, the problem being addressed, project costs, funding need and market evidence.

  • Financial statements or accountant evidence where required
  • Employee headcount and payroll evidence
  • Trading history and business activity
  • Leases, licences or site permissions
  • Industry, location or customer evidence

Project plan and outcomes

Describe one defined project rather than the whole business. Explain the starting position, activities, milestones, delivery team, risks and measurable outcomes. Link every claim to evidence and every activity to the program objectives and assessment criteria.

  • Project objective and scope
  • Timeline, milestones and responsibilities
  • Expected economic, operational or community outcomes
  • Risks and mitigation
  • Partners and letters of support

Budget, quotes and contribution

Build a line-item budget that separates eligible and ineligible costs. Check quote requirements, GST treatment, related-party restrictions and whether the contribution must be cash. The amount requested should reconcile across the form, budget and project plan.

  • Supplier quotes in the required format
  • Eligible cost calculation
  • Applicant and partner contributions
  • Evidence that contributions are available
  • Other government funding and double-funding checks

Final submission control

Allow time for review and portal problems. Check every mandatory attachment, character limit, declaration and signature. Save the submitted version, confirmation email and reference number. If successful, keep project and expenditure records in the form required by the agreement.

  • Current guidelines and addenda rechecked
  • Mandatory fields and attachments complete
  • Claims factual and consistent
  • Submission before the stated date, time and time zone
  • Submitted copy and receipt retained
